How to Use a Time Card Calculator

A time card (or timesheet) records employee work hours by day so payroll can be calculated accurately. Enter your start time, end time, and any unpaid break time for each day. The calculator automatically totals your hours and flags overtime.

Federal vs. Daily Overtime Rules

Under the federal Fair Labor Standards Act (FLSA), overtime is required for hours over 40 in a single workweek at 1.5× the regular rate. California, Alaska, and Nevada go further — they also require overtime after 8 hours in a single day. California mandates double time (2×) after 12 hours in one day. Use the "Daily OT" toggle if you work in one of these states.

The 7-Minute Rounding Rule

IRS regulations allow employers to round employee time to the nearest quarter-hour. Under the 7-minute rule: if you clock in 1–7 minutes after a quarter-hour mark, your time rounds down. If you clock in 8–14 minutes after, it rounds up. Rounding must be applied consistently in both directions and cannot systematically benefit the employer.

How do I calculate hours on a time card?
Subtract the start time from the end time for each day, subtract any unpaid break, and add up the daily totals. Convert minutes to decimals (divide by 60) for payroll. Example: 8:00 AM – 5:30 PM − 30 min break = 9.0 hours.
When does overtime start?
Under federal FLSA: after 40 hours in a workweek. In California, Alaska, and Nevada: also after 8 hours in a single workday. California additionally requires double time after 12 hours/day or on the 7th consecutive workday. Toggle the OT rule above to match your state.
How do I calculate overtime pay on a time card?
Regular pay = regular hours × hourly rate. Overtime pay = OT hours × (hourly rate × OT multiplier). Standard OT multiplier is 1.5× (time-and-a-half). Double time is 2×. Total gross = regular pay + overtime pay.
What is the 7-minute rounding rule?
